Hurricane Katrina Relief Concert
Alright Brothers,
This is it. This is going to be our signature event on this campus. This is an incredible way to demonstrate the talents of our brothers, to give the people on the campus a great time, and make a significant contribution to the relief efforts of the Red Cross. We will be organization and playing in a live concert that will raise money to be donated to the Red Cross. There are several aspects of this event that need to properly coordinated. I need people in the chapter to be actively involved in this event, especially in the planning stages.
Below are the lists of things that I think need to be taken care of. If there are things that you think should be added to this list or have other recommendations for me, let me know. I will be the head of the special committee running this event, and all people who will be helping out (which is the whole chapter) will be reporting to me.
1. I need a group of brothers to volunteer to play for the evening. Jake will be playing perma-drums and Dudeman will be playing perma-bass. I know there are a lot of guitarists and singers in the chapter and those who want to participate will split the duties of the songs that we are playing. The length of the set and the number of songs we will play will depend on the number of volunteers we have to play for the show. Please get involved if you are musically talented!!! You will have over three weeks, ideally, to practice for the show. I expect the band to get together for practice at least 2 times a week. I know everyone is busy so I learning the songs on your own will be fine, but everyone will need to practice playing together, getting all of the equipment properly calibrated, and what not.
2. I need someone to promote the event to TV, radio, and the student newspapers. Perhaps we can get some sponsors for the event?
3. I need someone to contact (do not call, or email, you will drive to the Red Cross building off University Ave because they are horrible at getting back to us via any other method) the Red Cross and find out how they would like to be involved.
4. I need someone to promote the event to the Greeks during their chapter times next Monday.
5. I need someone to find a location for the event. It sounds like it will be best to do the event somewhere on campus, such as the union theatre. Another alternative is to do it in Library Mall. This would change the logistics of the show because we would no longer be able to charge tickets. Instead, we would raise money through sale of drinks and food and collect money through monetary donations. THE LOCATION OF THE EVENT NEEDS TO BE DETERMINED NO LATER THAN WEDNESDAY! This way we can begin to promote the event and will have a specific date, time, and location of when it is going down. This will also tell us about seating capacity, what we can do with drinks and food (i.e. it might be hard to serve drinks at the Union Theatre but that is something that can be negotiated I hope. When talking to the Union Theatre find out if we would be able to run the bar that is in the lower part of the theatre and bring our own drinks that we can personally sell). Furthermore, the location will determine if we are even going to sell tickets. Talk to the Union, talk to Campus Security or whoever coordinates outdoor activities, talk to places on State Street, wherever. There are plenty of auditoriums in Madison that we can do this event at. Ideally, somewhere like at the Union or Library Mall would be best because it gives us exposure and plenty of seating capacity. Also, when you reserve the place, look into what kind of permits we might need to get, our what kind of equipment we need to supply.
6. I need someone to coordinate sound and lighting usage
7. I need people to volunteer for security. These people might have to regulate entrance at the door, do crowd control, and make sure people aren't messing with the band.
8. I need a committee (preferably the people that promoted the event to the Greeks) to promote the event to the rest of the campus if we need to sell extra tickets.
9. I need Erik to talk to his band and see if they would want to open the show.
10. I need brothers who want to put on in show entertainment. Based on the number of songs our band is going to play (i.e. the length of their set) we are going to have to adjust the number of people that can do skits when the band is taking breaks.
11. In need people in charge of graphics and posters. We will need to post signs and think that we should have banners made for the day of the show. This is something the Red Cross might be able to help with, and so I think you should work with the Red Cross contact to see if we can get our advertisement design on a nice banner.
12. I need someone to help me with logistics. We need to keep track of the number of tickets sold, specific times, length of the show, money raised, etc.
13. I need someone to go out and buy drinks and food, if in fact we will be able to sell such things at the show.
As of right now these are the various responsibilities and tasks that I see we need to address. If there are other things that come up I will update this post and will send updates over the list serve. I need people to volunteer for these jobs!!! Do not slack over this!!!!!!! We need to get the planning out of the way within the next week so that we can focus on other aspects of the event. Please get involved!!! Well, actually, everyone will be involved in one way or another. Some of the jobs listed above require a lot of busy work, so I might split of tasks amongst a group of brothers to get them accomplished earlier.
Things to note. No one said that this event needs to be done on a weekend, although a Thursday, Friday, or Saturday night would probably be the best time for the show. This will be a night time show! More people will be able to show up for a night time show. I want to do the event sometime at the end of this month or beginning of september, so to the person who is going to reserve the location of the show, you should keep this in mind and find out what dates around this time are open. Also remember that September 24 is the Michigan night game, so we will not be doing anything this night, and the following weekend we have the Indiana game in the afternoon.
